Dashboard | Project Management tool
Lumniarflow—an innovative creative project management platform. As the UX Designer leading this charge, my role is to boost the platform's user-friendliness, provide a clear overview of ongoing projects, and eliminate project management delays.
The ultimate goal?
To empower creative professionals to channel their energy into their craft.

How might we enable an efficient project management experience so that stakeholders can focus on creative work and manage delays?
Research
Competitive Analysis
Based on the Client's vision and pain points, our research started by understanding existing gap in the market for Freelance artist and project planning. Competitive analysis on global management products strengthen our hypothesis of effect of manual entries and complex structure on project planning.

User Persona
Based on previously done user research with freelance artists and Project Manager, we created the two user archetypes to represent common sentiments towards project planning.

Creative service providers often find themselves tangled in repetitive tasks, making it difficult to focus on core creative work. We aim to minimise these repetitive tasks and improve overall project management efficiency.

Our users must know when to take on new projects while maintaining their current schedule. We want to enable them to make informed decisions about their workload capacity.

Avoiding conflicts between review dates and existing deadlines can be challenging. Our users need a solution to manage their availability effectively.

Process Flow
User research helped us to frame the key priorities structure in the flow and how it will be used with various conditions and external impacts on the timeline.

Wireframing
Upon discussion with client and team, we brainstormed ideas to create the features which are visible and findable for users as a freelancer and PM.

Design Solution
Dashboard
At the project tab, we showcased the new feature of Dashboard giving a summary of high priority tasks, project availability, ongoing project and upcoming project. This helps the designer and project manager decide on tentative planning of new project. This dashboard eliminated checking multiple project tabs, calendars and diary which are the part of manual decision making.
Daily Task based Work summary



Daily task based Summary
Along with the dashboard, feature of daily task was introduced to give an overview of task to be completed per day along with priority indicator. This was highlighted as the essential features by anonymous testers to eliminate delays and manual calendar entries as per separate Gantt chart.



Availability Feature
As the key priority was to eliminate delays and stress on freelancer and PMs, the availability feature reflects the any change made by either parties e.g medical leave, holiday leave on the schedule and across multiple projects. This feature helped the freelancer and clients to reschedule dates without multiple emails and miscommunication.




Timeline feature
In our project management system, catering to the needs of primary users like project managers, the distinction between task leads and lags becomes crucial. We have devised an intuitive timeline structure featuring color-coded elements, delineating tasks, review dates, delays, and unavailability periods. This design empowers users to readily identify tasks demanding heightened attention to ensure timely project completion.



Retrospective:
Challenges with Limited User Access:
We encountered a significant hurdle during this project, stemming from limited access to freelance users. This constraint hindered our ability to build a robust justification for the features we had designed, primarily relying on our interpretation of the client's vision. Despite positive feedback from unmoderated maze tests, we felt a lack of user validation for these features, leaving us with some uncertainty regarding their actual value.
Effective Team Collaboration:
On a positive note, our team displayed commendable synergy in terms of communication, constructive debates, and ultimately delivering in line with the client's vision. We remained result-oriented throughout the project, aligning our efforts with project objectives, timelines, and tasks. This approach allowed us to adapt to the non-linear nature of the process.
Client Expectations and Project Management:
As a key takeaway, we recognized the importance of revisiting and reassessing the client's expectations and requests, particularly concerning project management. This insight emphasized the need for clear communication channels with clients to ensure that our design solutions align effectively with their objectives.
